Overview

The Director of Study Abroad is responsible for daily oversight of and long-term planning for the Office of Study Abroad.  Under the supervision of the Academic Dean, and in collaboration with the Associate Provost, the Director establishes operational priorities for the Office of Study Abroad.  The Director is responsible for identifying and implementing programmatic and process improvements, as well as for assessing the success of study abroad programs for Arcadia students. Other major areas of responsibility include: advising for a portfolio of programs, staff management and training, incident and crisis response, and budget management.

Responsibilities

Leadership and Administration (60%)

 

a. Planning and Administration

  • In collaboration with the Academic Dean, ASA team, and other University faculty and administrators, establish and implement goals and policies for study abroad programming and participation that are consistent with Arcadia’s mission and vision.

  •  

    Oversee the activities of the Office of Study Abroad ensuring that processes such as advising, administration, marketing, and outreach as well as communications with faculty, staff, students, parents and alumni run smoothly.

  •  

    Ensure that all students and parents receive consistent information, that policies are implemented fairly, and that decision-making is done in a consistent and fair manner.

  • Document standard practices and application policies, identify areas for improvement, and develop new practices as needed.

  • Collaborate with colleagues from other Arcadia administrative and academic offices including Graduate and Undergraduate Studies colleagues, faculty and academic advisors, department chairs, the Registrar, Financial Aid, Student Health Services, and Student Affairs to ensure a positive experience for students studying abroad.

  • Identify ways to use existing and new technology to streamline advising and support processes for study abroad.

  • Maintain website content for the Office website and ensure accurate information is provided to students via the website.

b. Program Management, Curriculum Integration and Outreach

  • Partner with academic departments to integrate study abroad into their curricula. This includes meeting with departments to identify curricular gaps which need to be filled and to explore new program models.

  • Communicate the work that the Study Abroad Office does to faculty and the wider University community.

  • Communicate regularly with The College of Global Studies (TCGS), external program providers, and university exchange partners concerning curricular issues, on-site programming, disciplinary matters and emergency preparedness for approved programs.

  • In collaboration with the Academic Dean and the Associate Provost, maintain a portfolio of credit-bearing undergraduate study abroad program options.

  • As directed by the Academic Dean, participate in site visits with teams of faculty and administrators. 

  • Manage all administration, student support, and teaching/learning aspects of the FYSAE programs. As chair of the FYSAE committee, facilitate required collaboration to promote the FYSAE program, provide enrollment support, and facilitate pre-departure orientation and post-return reintegration into the Arcadia community.

  • Under the direction of the TCGS Director of Strategic Planning and Research, implement evaluation protocols to assess the University’s study abroad programs.

 

c. Budget, and enrollment management

  • Serve as the budget manager for the Office of Study Abroad operating budget.
  • Submit estimates for enrollment in study abroad to the Associate Provost and the Academic Dean to assist in long-term enrollment projections.  

  

d. College and Partner Relations

  • Invest in relationships with in-country TCGS staff, external program providers, and university exchange partners that support student advising and development in study abroad.

 

 

Student Advising and Programming (15%)

  • Advise students preparing to study abroad on academically appropriate programs.

  • Advise students on study abroad policies, credit transfer and finances

  • Resolve curricular issues in conjunction with students and their departments. Identify and bring curricular issues with policy implications to the Academic Dean.

  • Correspond with students and parents regarding problems or concerns before, during and after program participation, as required.

  • Lead information sessions, orientation and reentry programs for students who participate in study abroad.  Involve TCGS staff as appropriate for TCGS study abroad programs.

  • Participate in study abroad fairs, parent’s weekends, new student orientation, admissions events and other on-campus information/recruitment events.

  • Collaborate with University Relations and TCGS Marketing staff on social media, website, print and other promotional efforts.

  • Collaborate proactively with relevant parties in TCGS to ensure all aspects of the students’ applications and pre-departure materials are complete and submitted in a timely manner.

  

 

Incident and Crisis Response (10%)

  • Manage student life incidents as appropriate in collaboration with TCGS, external program providers, and/or university exchange partners.

  • Manage student emergencies to ensure appropriate level of support is provided for all non-TCGS programs.

  • Liaise with health insurance provider to open and manage claims for students on non-TCGS programs.

  • Work with external program providers and University exchange partners to ensure proper procedures are followed and support provided for student on non-TCGS programs.

  • Communicate with parents/families as appropriate.

  

 

Staff Management and Training (10%)

  • Work with direct reports to establish clear goals and direction for their individual responsibilities and professional development.

  • Manage direct reports’ day-to-day work.  Work with staff individually, in teams, or as a group to ensure the success of The Office of Study Abroad.

  • In collaboration with Academic Dean, recruit, hire, supervise and evaluate staff. Coordinate and implement training in support of staff and student workers.

 

 

University Representation and Professional Development (5%)

  • As funding permits, represent Arcadia at international education conferences.

  • As time permits, participate on University committees and in activities related to the field of international education.

Qualifications

 Required Knowledge, Skills and Abilities:

  • Demonstrated knowledge of study abroad best and next practices, curriculum integration, strategic budget management, and health, safety and liability issues for study abroad.
  • Strong interpersonal skills and a demonstrated ability to work effectively and collaboratively with faculty, staff and stakeholders.
  • Excellent judgment and discretion and the ability to make decisions in a timely manner.
  • Demonstrated professionalism and collegiality in a team environment.
  • Superior problem-solving and analytical skills with proven ability to strategize, prioritize and multi-task to meet goals and deadlines.
  • Proven ability to establish an appropriate mentoring/advising relationship with college-age students.

 

Minimum Qualifications:

  • Master’s degree or equivalent combination of education and work experience required.
  • A minimum of five years of experience in study abroad required, with at least 2 years of leadership or management experience.

  • Ability to travel domestically and internationally
  • Valid driver's license
  • Valid passport
